Always the current version

Procedures, risk assessments, policies and certificates in one place per site. The live version is the one everyone sees, and every version it replaced is kept with the date it changed and who changed it.

No more three copies on three laptops and nobody certain which is current.

Send one link per person. They read a single page and confirm. No accounts and no passwords, so volunteers, casual staff and contractors actually complete it.

The register records who signed and when, and it stays current as people join and leave.

Log a fire drill, a walkthrough or a routine test from a phone while walking round. Record who took part, how long it took and what went wrong.

A named person at that site reviews and approves each entry, so the person who ran the check is not the only person who signed it off.

Weekly, monthly and annual checks scheduled once, then prompted before they fall due. Reminders go to whoever carries out the check, not only to the account holder.

When requirements change you are told what changed, what it means for a premises like yours, and which of your documents are affected.

Anything that needs revisiting is flagged, and anyone who signed the old wording is asked to sign again.

Martyn’s Law is the one with a deadline.

Premises where 200 or more people may be present need four written procedures, and everyone who works there has to know them. Enforcement is expected in Spring 2027.

Most premises in scope believe they are not, because capacity is judged on the busiest day of the year and counts staff, contractors and volunteers alongside the public.

Premises where safety is somebody’s third job.

Fire safety duties apply to virtually every non-domestic premises in the country. Very few of them employ anyone whose job title includes compliance.

Halls and community centres

Trustee-run, hired out for events that bring far more people in than an ordinary week.

Churches and faith buildings

Open to the public, often historic, managed by one or two people.

Schools and nurseries

Drill routines already established, with records spread across systems and staff.

High staff turnover, and function rooms that fill well beyond the daily headcount.

Contractors on site constantly, and sign-off that has to cover all of them.
